1 – About These Terms

These Terms of Use govern your access to and use of the Pastors Network platform at www.pastorsnetwork.co.uk. By registering for an account, you agree to be bound by these terms. If you do not agree, please do not register or use the platform.

The platform is operated by Concentric IT Ltd. References to “we”, “us”, and “our” mean Concentric IT Ltd. References to “you” and “your” mean the registered user.

2 – Eligibility

The platform is designed for pastors, church elders, church administrators, and lay preachers associated with UK evangelical churches. By registering, you confirm that:

  • You are at least 18 years of age.
  • You are registering in connection with a genuine church or preaching ministry.
  • The information you provide during registration is accurate and complete.

We reserve the right to refuse or revoke access to anyone who does not meet these criteria.

 

3 – Account Registration and Approval

All accounts are subject to approval. When you register, your application is reviewed before access is granted. We may contact you to verify your identity or church affiliation. We are under no obligation to approve any application and may decline without giving reasons.

You are responsible for keeping your login credentials secure. Do not share your password with anyone. If you believe your account has been compromised, contact us immediately at dp@pastorsnetwork.co.uk.

 

4 – Platform Services

The platform provides the following services, which may change over time:

  • Pulpit cover coordination (posting and accepting preaching slots)
  • Pulpit swap arrangements between pastors
  • Network events calendar
  • Ask for Help requests within your church networks
  • Personal notes and task management
  • Pastoral visit recording
  • Church Members Database
  • Building and equipment maintenance log
  • BookShare (book ordering coordination)
  • Church and preacher directory
  • Notification and weekly digest emails

 

5 – Service Tiers

Access to the platform is currently provided free of charge. We reserve the right to introduce paid subscription tiers in future. If we do so, we will give you at least 30 days’ notice and you will not be charged without your explicit consent.

 

6 – Your Responsibilities

When using the platform, you agree to:

  • Provide accurate and up-to-date information about yourself and your church.
  • Use the platform only for its intended purposes (church coordination and pastoral support).
  • Treat other users with respect and courtesy.
  • Not upload content that is offensive, defamatory, or illegal.
  • Not share your login credentials with anyone.
  • Comply with our Acceptable Use Policy
  • If you are a church administrator entering data into the Members Database, ensure you have the necessary legal basis and consent to share that data with us as data processor (see our Data Processing Agreement www.pastorsnetwork.co.uk/dpa/).

 

7 – Data You Enter

You retain ownership of all data you enter into the platform. By using the platform, you grant us a limited licence to store, process, and display that data as necessary to provide the platform services. We will not use your data for any other purpose.

If you enter data about other people (e.g. church members in the Members Database, pastoral visit records), you are responsible for ensuring you have the legal right to do so and that you comply with UK data protection law.

8 – Intellectual Property

The platform, its design, code, and branding are owned by Concentric IT Ltd. You may not copy, modify, distribute, or reverse-engineer any part of the platform.

Sermon audio files you upload remain your intellectual property. By uploading them, you grant us a licence to host and stream them to other registered users via your profile page. If your account is closed or terminated, or if the platform ceases to operate, we will delete all sermon audio files associated with your account within 30 days and will not retain or continue to host them after that period.

 

9 – Availability and Maintenance

We aim to keep the platform available at all times but do not guarantee uninterrupted service. We may take the platform offline for maintenance, updates, or in response to security incidents. We will give reasonable notice of planned downtime where possible.

 

10 – Limitation of Liability

The platform is provided “as is” without warranties of any kind, express or implied. To the fullest extent permitted by law:

  • We do not guarantee that the platform will be error-free, secure, or available at all times.
  • We are not liable for any loss or damage arising from your use of the platform, including loss of data, loss of revenue, or any indirect or consequential loss.
  • Our total liability to you for any claim arising from your use of the platform is limited to the fees you have paid us in the 12 months preceding the claim (or £100, whichever is greater). We acknowledge that this cap is modest and review it periodically in light of the nature of the data held on the platform.
  • Nothing in these terms excludes our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law.

 

11 – Termination

You may close your account at any time by contacting us at dp@pastorsnetwork.co.uk. We will delete your account and personal data in accordance with our Data Retention Policy.

We may suspend or terminate your account if you breach these terms or our Acceptable Use Policy. Examples of misuse that may lead to termination include, but are not limited to: use of the platform for commercial purposes unrelated to church ministry, uploading unlawful content, unauthorised sharing of other users’ data, or impersonating another individual or church. We will notify you by email if we take this action and will provide reasons unless we are legally prevented from doing so.

 

12 – Complaints and Dispute Resolution

If you have a complaint about the platform or these terms, please contact us in the first instance at dp@pastorsnetwork.co.uk. We aim to acknowledge all complaints within 5 working days and to resolve them within 28 days where possible.

If we are unable to resolve your complaint informally, either party may refer the dispute to mediation before commencing court proceedings. This does not affect your right to take legal action at any time.

 

13 – Cookies and Tracking

14 – Changes to These Terms

We may update these terms from time to time. We will notify you by email of any significant changes and give you at least 14 days’ notice before changes take effect. Your continued use of the platform after the notice period constitutes acceptance of the updated terms.

 

15 – Governing Law

These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
